Role Summary
As our Workplace Project Manager based in Paris, you will oversee the planning, implementation, and delivery of workplace operations projects, ensuring efficient facilities management, optimal space utilization, and high-quality service delivery across all sites.
You will report directly to the Workplace Lead EMEA, and be part of the HR Team.
Key Responsibilities
Project Leadership & Delivery
Own end-to-end delivery of complex, multi-site workplace projects, ensuring alignment with business strategy and Mistral AI’s values : opening a new office, setting up and following the Workplace yearly budget, negotiating leases, negotiating contracts with providers, launching call for tenders or control for providers…
Establish and enforce project governance standards, methodologies, and best practices.
Lead post-project reviews to capture insights and drive organizational improvements.
Advise on emerging regulations and drive a culture of health, safety, and rigor across project teams.
Workplace Strategy & Innovation
Drive workplace strategy across global sites, integrating occupancy insights, business unit feedback, and emerging industry trends.
Develop mid- to long-term capacity plans and champion audacious, innovative space solutions.
Lead the adoption and optimization of digital workplace tools, advanced automations, and align technology with organizational goals.
Vendor & Financial Management
Manage a portfolio of strategic vendor and contractor relationships, developing preferred supplier frameworks.
Negotiate multi-project agreements and mentor team members on procurement best practices.
Lead budget management for complex portfolios, design financial reporting frameworks, and identify strategic cost efficiencies.
Advise leadership on cost trade-offs and mentor junior team members on financial governance.
Experience and Skills
Proven track record: 8 to 10 years in workplace project management, facilities management, or corporate real estate, with experience delivering complex, multi-site initiatives.
Strategic thinking: Ability to align project delivery with business objectives and long-term workplace strategy.
Financial & vendor expertise: Strong budget and cost management skills, including financial reporting, cost trade-off analysis, and strategic vendor negotiations.
Risk & compliance mindset: Deep understanding of risk frameworks, contingency planning, and compliance (including ESG, health & safety, and workplace regulations).
Digital fluency: Experience with workplace management tools, automation, and data-driven decision-making.
